Planning a Corporate Event in Sacramento? Start With These 7 Decisions

Planning a Corporate Event in Sacramento? Start With These 7 Decisions
Your planning checklist
  1. Purpose
  2. Headcount
  3. Total budget
  4. Activity level
  5. Food and drinks
  6. Schedule
  7. Space and logistics

The hardest part of planning a company event is often deciding what kind of experience will work for everyone. Some coworkers want an activity. Others want a good meal and time to talk. You also have a budget, a schedule and a guest list that may still be changing.

Before comparing Sacramento venues, make these seven decisions. They will help you ask better questions and get proposals you can actually compare.

1. Decide what the event should accomplish

A client reception, a team celebration and a working meeting need different settings. Pick the main purpose first. Are you helping people get to know each other, thanking them for a busy season, entertaining clients or bringing separate teams together?

That answer should influence the activity, room arrangement and schedule. If conversation is the priority, protect time for it. If you need a presentation, discuss the technical setup before committing to a space.

2. Establish a realistic headcount range

Give the venue a likely number and a possible upper limit. A small team gathering and a larger company party have different space and service needs. Ask when the final count is due and how a change affects the proposal.

Birdies hosts events for groups ranging from 10 to 300, with the arrangement depending on the event. That overall range is not a promise that every room or seating plan accommodates every headcount. Our team can help match the group to an appropriate setup.

Plan for the whole team: decide whether golf is the centerpiece or an optional part of the gathering.

3. Set a total budget, then ask what it includes

Start with the total you can spend. Ask the venue to identify food, beverages, activity or space charges, taxes and any applicable service charges. Confirm payment timing and cancellation terms in writing so you are comparing complete proposals.

Published hourly golf prices are useful for understanding a casual bay booking. They are not a substitute for a proposal covering a larger private event, food service and your specific requirements.

4. Choose how much activity you want

For a mixed group, make participation comfortable. Decide whether golf is the centerpiece, an optional activity or something guests can move in and out of. Avoid assuming everyone wants a tournament.

At Birdies, golf bays sit within a venue with a full restaurant and bar, giving the organizer different ways to build the event. Ask how playing, dining and conversation can fit together for your group. If many guests are new to golf, share our first-visit guide ahead of time.

5. Match the food and drink plan to the occasion

Decide whether guests need a full meal, food during an activity or lighter bites at a reception. Collect dietary requirements early and ask which service format suits the space and schedule. Discuss how beverages will be handled so guests and hosts know what to expect.

The restaurant menu gives you a sense of Birdies' food. Ask our events team for the current event options and a proposal suited to your headcount rather than assuming every restaurant item is an event package.

6. Build a schedule with room for arrivals

People rarely arrive simultaneously. Allow time for check-in, greetings and getting comfortable before the main activity. If the event includes a welcome, a meal and golf, give each a clear place in the plan.

For example, an informal team social might begin with arrivals and drinks, move into optional golf and food, and finish with time to catch up. This is an illustrative flow, not a fixed Birdies package. Confirm your access, setup and end times with the venue.

Make the first inquiry count: include dates, timing, headcount, budget and any dietary, accessibility or presentation needs.

7. Clarify the space and logistics before booking

Ask what will be private, what may be shared, where the group will gather and how guests will move between activities. Discuss accessibility, arrival directions, parking, any presentation needs and whether other programming overlaps your event.

Birdies is at 805 Riverfront Street in West Sacramento, across from Sutter Health Park. Share your proposed date and timing so the team can discuss availability and the right arrangement.

Send an inquiry the team can act on

Include your preferred date and an alternate, approximate start and end times, headcount range, total budget, event purpose, food and beverage expectations, and interest in golf. Mention dietary, accessibility and presentation requirements up front.

Those details give the team a useful starting point and reduce the back-and-forth before a proposal.
